General Statement of Duties: The Executive Assistant provides high-level administrative, clerical and special projects support to executives of the organization and their management teams. This position also interfaces with other administrative personnel throughout the System office. Essential Job Functions: 1. Screens telephone calls and visitors, uses discretion and judgment in ascertaining who can be redirected to subordinate management. Provides information to callers, which requires comprehensive knowledge of company policies, practices, and operations. 2. Maintains a high degree of proficiency with various Internet applications and programs dealing with the maintenance of www.SAHealth.com and other Methodist Healthcare Web sites. Responds personally and independently to all Web site customer comments by researching, forwarding to appropriate personnel and following up. 3. Prepares a variety of highly confidential, specialized and recurrent reports using word processing, spreadsheets, database, PowerPoint and PRTrak for media value reporting and creates specialized event flyers and/or brochures as requested. Manages Kronos for several departments for payroll and tracking purposes and facilitates invoices to be paid through accounting department. 4. Maintains executive's calendars, arranges meetings, conferences, travel arrangements and appointments to aid executives that require initiative and judgment to make independent decisions. 5. Supervises the Methodist Healthcare System Secretary (lobby reception area), mentors as appropriate and makes appropriate decisions overseeing this position. 6. Notifies correct personnel with building maintenance or housekeeping issues as they become apparent through the Secret ary's notification.Qualifications: Minimum Education and Experience: High school diploma or GED or equivalent work experience desired.Company Description:At its founding in 1968, Nashville-based HCA was one of the nation's first hospital companies.
